Official notice of 2019 Australian Science Communicators AGM (26 Nov 2019, Canberra)

This is the official notice of the Australian Science Communicators’ Annual General Meeting, to be held in Canberra on 26 November 2019

The 2019 AGM is an opportunity for members to hear about the year’s events at the national level, and also to have their say about what should happen in the year to come. It also includes reports from the President and Treasurer.

When: Tuesday 26 November, 17.30 AEDT

Where: Board Room, National Computational Infrastructure (NCI), 143 Ward Road, ACTON, Canberra

There will be the chance to join the AGM in person in Canberra or via teleconference (using ‘Zoom’), details of which will be circulated to all RSVPs in advance of the meeting.

Executive Council Positions

The current ASC President Lisa Bailey will be remaining in the President’s role.

The current ASC Secretary Teresa Belcher will be stepping down after three years in the role.

If you are interested in joining the Executive Council (as Treasurer, Secretary, Vice President x 2), then please contact the National Secretary. If more than one person is interested in a particular position, then an election will take place.

Reps on the National Council

Branches are required to nominate and endorse a National Representative to join the National Council at their Branch AGM. If this has happened, please notified the National Secretary.

Constitutional Amendment Notice

Reason for proposed amendments:

We propose to reduce required number of meetings of both the National Executive and National Council from six (6) to four (4) as it is has proved difficult to gather group members (spread across three time zones) together for six meetings per year.

Motion to change the Constitution

Proposed new wording:

22 Committee meetings and quorum
(1) The committee must meet not less than six four times a year at the place and time and in a manner that the committee may decide.

Proxies

Members unable to attend the AGM in person can provide an online proxy (new for 2019). This will allow members to nominate another current ASC member attending the meeting to hold their proxy, or alternatively the National Secretary (Teresa Belcher). Instructions for nominating proxies will be circulated prior to the AGM along with the final notification of official business. Please note, organisations that have a membership may nominate only one (1) representative to vote.

National President Vacancy

The current ASC President Craig Cormick will be standing down following two-years’ in the role. He will remain on the committee as the Past-President.

Nominations are therefore open for President of the ASC for 2019.

Presidential nominations (with a proposer and seconder) must be received by 1pm (AEST) Monday 5 November 2018 and can be sent to Teresa Belcher, National Secretary (secretary@asc.asn.au) accompanied by a short (max 250 words) statement about why you would like the role, and what skills/experience you bring to it. Nominations for President need to be agreed by the nominee.

The ASC AGM is coming up in Canberra (and also online) on Tuesday 19 December 2017.

Treasurer vacancy

Members also have the chance to elect a new National Treasurer. Due to family commitments, our current treasurer Pete Wheeler is resigning after 5 years of service. We’d like to thank Pete for being such a stalwart contributor in the engine room of the ASC, overseeing the association finances and related compliance and reporting in times of change, and keeping the national executive up to date on all things finance during this time.
Nominations for Treasurer should be accompanied by a nomination statement (<400 words) of skills/experience in relation to the position. Note that notices of motion require a proposer and a seconder, and nominations for Treasurer need to be agreed by the nominee.

Proxies

Members unable to attend the AGM in person can give proxies to other members attending the meeting. This means that unless members are at the physical meeting in Adelaide, you will need to designate a proxy to vote.

To designate your proxy:

  • Download and complete the proxy form, and ensure a copy of this form is with your proxy to take to the AGM (Word and PDF)
  • Notify the National Secretary, Teresa Belcher (secretary@asc.asn.au) – this must be done or the proxy and vote is not considered valid
  • Ensure that the proxy form is completed prior to 6pm AEST Friday 15 December 2017

Please note that votes will remain confidential. All proxy forms will be collected and destroyed after the AGM.

The ASC-WA branch is heading to the Regional Resource Recovery Centre (RRRC) in Canningvale to have a tour behind the scenes of the recycling facility.

The RRRC’s Community Engagement and Communications Officer, Taryn Beagley will be taking us on the tour and will be able to chat further about the Waste Education Program – Recycle Right – that she has been working on and give us an insight into the other communication initiatives of the RRRC.

You must wear covered in shoes during the tour and please bring a water bottle as well. NB: You will not allowed on the tour if you do not have covered in shoes. Please also read the following conditions.

After the event, for those who are interested, we could go for lunch at ‘The Last Drop Brewery and Restaurant’ (507 Nicholson Road, Canningvale). Check out their website for details and menus (including beer tasting….).

For some further fun, we will be having a ‘Lock and Key’ raffle. You can buy five (5) keys for $10.00 or one (1) key for $2.50. Whoever has the key that unlocks the lock wins a cool prize (to do with recycling…stay tuned). As this is a free event for members, we’d like to encourage everyone to participate in this as we’ll need to sell all 100 ‘keys’ in order for this to work! (and we are keen to raise some funds to go towards future events for ASC-WA).

We will also attempt to organise car-pooling as Canningvale is not the easiest place to get to with public transport. Please answer the questions relating to this when you register.
